As a PM, FM, RQ, SP, I can update project data
After creating a project, Project Managers (PM) and other manager roles (PMA, PMO, PfM, PgM, RQ) can update project data at INITIATION > Project Data > Define. Sponsors (SP) and Functional Managers (FM) can update project data at CONTROL > Project Data:

Data can be edited or read only depending on the role:
- Private Project Code: This automatically generated code is unique for each project. This code can be used in project search to find the project. Knowing this code, other users can join the project proactively, not needing the Project Manager (PM) to invite them. Team Members (TM) can assign themselves to the project (work package #0). Stakeholders (SH) can include themselves into the project stakeholder register. Portfolio Managers (PfM) can add this project to their portfolios. Program Managers (PgM) can add this project to their programs. Manager roles (PMA, PMO, PfM, PgM, PM) can hide this code.
- Project Notes : Some text helping define the project.
- Request Name: Name used by the Requester (RQ) for this project, from demand management perspective.
- Project Name: The complete project name.
- Project Short Name: The short project name.
- Client: At project closure, the project product, service, or result will be transitioned to this client. The Functional Manager (FM) can set up the clients for a Business Unit at BU DATA.
- Contract Type: If this project is to be delivered to a client under contract, this field can be used to indicate the type of contract: fix price, time and materials, cost reimbursable, etc.
- Project ID: The project identifier helps identify the project inside the performing organization. This alphanumeric code is editable and can be reused.
- Project Manager: PMPeople user who is assigned to manage the project. Click “send email invitation” icon if not selectable in the dropdown list.
- Requester: PMPeople user who is assigned to request the project. Click “send email invitation” icon if not selectable in the dropdown list.
- Sponsor: PMPeople user who is assigned to sponsor the project. Enter an Email ID and Click the “+ Invite” button if not selectable in the dropdown list.
- Baseline Cost: Committed or authorized budget for the project (work package #0). This field can be updated at PLAN > Plan Cost. If there are detailed work packages, then the project baseline cost is automatically calculated.
- Baseline Duration (days): Committed or authorized duration for the project (work package #0). This field can be updated at PLAN > Plan Schedule. If there are detailed work packages, then the project baseline duration is automatically calculated.
- Baseline Start: Committed or authorized start date for the project (work package #0). This field can be updated at PLAN > Plan Schedule. If there are detailed work packages, then the project start date is automatically calculated.
- Baseline Finish: Committed or authorized finish date for the project (work package #0). This field can be updated at PLAN > Plan Schedule. If there are detailed work packages, then the project finish date is automatically calculated.
- Value: Number given by management indicating the project relative value or relative priority inside the business unit. Scale is an enterprise environmental factor, normally a number between 0-100.
- Size: Alphanumeric value indicating the project relative size inside the business unit. Scale is an enterprise environmental factor: T-Shirts sizes XXL, XL, L, M, S, XS, etc.
- Risk rate: The performing organization risk exposure if the project is approved. Scale is an enterprise environmental factor: normally a number between 0-100.
- Probability %: Probability of approving the project, expressed as a number between 0-100. If the project state is not initiating, probability is set to 100%.
- Functional Manager : A * PMPeople * user assigned to create a Business Unit (BU) for the project.
- Location : Users can add Project Location here. Click on [] icon to select the project city. Clear the location by clicking on the ‘Clear’ button.
Click the button [Notify] to send an email containing this basic project data to roles RQ, SP, FM, PMO, PMA, PfM, PgM, PM.
Users can access project basic data with the mobile application. Once they have entered any organization (for instance, DEMO PMPeople), they need to select the role Project Manager or Requester, then the project and finally, hit the menu option Initiation > Project Data:
