As a RM, PMO, I can manage the resource pool
Resource Managers (RM) and PMO, can manage the resource pool. They can select one resource pool to see the list of resources belonging to that pool:
The resources provides two views:
- Team Members

Click the “Add Team Member” button to add a new Team Member. Candidates are organization members using the TM role but not belonging to any resource pool. TMs can be removed from a pool by clicking the “delete” icon.
Click on the Add Team Member button to add a new team member to the resource pool.

Resource Managers (RM) and PMO users have multiple options to add team members
Add Existing Team Member
Users can search and select an existing team member from the list and add them to the resource pool.

Invite Team Member
Users can invite a new team member by clicking on the Invite option.
Enter the email address of the user and send the invitation.
The invited user will receive an email to join the organization for the resource pool.

Add Generic Team Member
Users can create a generic team member by clicking on the New Generic option.
Enter the name of the generic team member and click Save to add.

Add Material ResourceClick the “Add Material Resource” button to add a new Material Resource. Material Resource can be removed from a pool by clicking the “delete” icon.

- Name: Enter the name of the material resource.
- Contractor: Reuse or create contractors supplying this material resource.
- Resource ID: Enter an internal identifier for this material resource.
- Unit: Select the unit used to measure this material resource.
- Unit Cost: Enter the default cost per unit of this material resource.
- Resource Category: Reuse or create resource categories for material resources in this resource pool.
- Description: Enter additional details about this material resource.
Tab TEAM MEMBER shows data for each TM in the POOL list:

Click TEAM MEMBER > Team Member Data to manage TM’s information:

- Contractor: If [Contractor] toggle is on, then TM works for a contractor company that can be selected from the contractor list. Contractor names for a resource pool are set up by the Resource Manager (RM) at POOL DATA.
- Resource Pool: Resource Managers (RM) can move TMs from one pool to another. RMs can view only their own pools. PMO can see all pools. If a TM has this field empty, then he or she cannot be assigned to a project, since PMs can only find TMs by resource pool.
- Start/End Time: Default hours to start and finish working days. Unmark checkbox [Initialize Timesheet with Calendars] to set these as the default values for any new time sheet for this TM. Mark checkbox [Initialize Timesheet with Calendars] to take default start/end times from the applicable calendar as default initialization values. TM can always change default data.
- Hours Per Day: Maximum hours per day for this TM. In time sheets, overtime hours will be shown with red color if greater than max capacity. If the checkbox [Initialize Timesheet with Calendars] is marked, then the overtime rule will use calendar day max hours, not max capacity.
- Hourly Cost Rate: Internal fix cost per hour for this TM. This cost does not depend on the project which TM is assigned to. This cost is normally fix during the year, although it can be changed if TM is promoted, for instance.
- Job Categories: TMs can have different job categories effective since different dates during their professional development. Job Categories per resource pool are setup by the Resource Manager (RM) at POOL DATA.
- Skills: TMs can have different skills effective from different dates during their professional development. Skills per resource pool are set up by the Resource Manager (RM) at POOL DATA.
- Notes: Resource Managers (RM) can write annotations on TMs. This field is not shown to the TM. Since this field is unique for each TM, if a TM is moved from one resource pool to another, the new RM can still read these notes by the old one, change and update what is needed.
Click Resource(Material Resource)> Team Member Data to manage TM’s information:

- Resource Pool: Resource Managers (RM) can move material resources from one resource pool to another. RMs can view and manage only their own resource pools, while PMO users can access all resource pools. A material resource must belong to a resource pool before it can be assigned to projects or work packages.
- Contractor: If a contractor is selected, the material resource is supplied by that contractor. Contractor names are configured by the Resource Manager (RM) in POOL DATA and can be reused by all material resources within the resource pool.
- Resource ID: A unique identifier for the material resource. This field can be used to reference the material in external systems, inventory records, or procurement processes.
- Unit: Defines the unit of measurement used when planning and tracking the material resource, such as kg, liters, pieces, or meters. Units are configured by the Resource Manager (RM) in POOL DATA.
- Unit Cost: The internal cost for one unit of the material resource. This cost is used when calculating the planned and actual cost of material assignments across projects.
- Resource Category: Categorizes the material resource for easier organization and reporting. Resource Categories are configured by the Resource Manager (RM) in POOL DATA.
- Description: A free-text field used to record additional information about the material resource, such as specifications, intended usage, storage requirements, or other relevant notes.
Resource Managers (RM) and PMO users can also update the name of a generic team member.

Click TEAM MEMBER > Assignments to show TM’s assigned work packages and tasks:

RM can view a Gantt chart with work packages assigned to TMs in a resource pool at More…> SCHEDULE.
Click TASKS to review TM’s assigned tasks. RM can view a Gantt chart with tasks assigned to TMs in a resource pool at More…> SCHEDULE.
RM can monitor time sheets and expenses of TMs at More…> TIMESHEETS / EXPENSES.
RM can review feedback to TMs from Stakeholders (SH), Requesters (RQ), and Project Managers (PM) at TEAM MEMBER > Feedback Received.
Frequently Asked Questions
Who can manage the resource pool in PMPeople?
Resource Managers (RMs) can manage their own pools, while PMOs can view and manage all resource pools.
What happens if a Team Member has no assigned resource pool?
They cannot be assigned to any project. PMs can only assign TMs from visible resource pools.
How are Team Member skills and job categories managed?
Skills and job categories are configured per resource pool by the RM in the POOL DATA section and can have effective dates.
Can RMs view Gantt charts of assigned work?
Yes, RMs can view work package and task assignments using Gantt charts under More > SCHEDULE.
