As a PgM, I can manage program capacity
Program Managers (PgM) can manage time sheets of TMs assigned to program projects at More… > CAPACITY.
The Capacity page provides two views:
- Timesheets – Monitor and manage team members’ timesheet data.
- Materials – Monitor and manage material resource usage.
Program Manager (PgM) can select just one project of the program, or [All Projects].
Timesheets

Data grid can be used to visually manage team members’ capacity:
- The time frame is determined by start date and the number of days, weeks, or months. Use [<] to navigate to the previous or next [>] time frame.
- Rows can be grouped by 4 criteria: 1) Team members by projects; 2) Team Members by work package; 3) Projects by Team Member; 4) Work packages by team member.
- Columns show the hours amount. Select [Actual Work] to view hours in progress, submitted, approved, or rejected. You can also select [Baseline Work], [Planned Work], and [Available]. Row timeframe sum on the right panel can be compared to row totals on the left panel.
- The data grid can also be filtered by team members.
Actual work hours for the selected time frame can be downloaded to a file:
- Select ‘All’ projects and click on download icon [🡫] to download all projects in program.
- Select a ‘project’ and click on download icon [🡫] to download only the selected project.
The downloaded file has one row per team member, day and assigned work package. Each row contains the following data:
- Team Member: Team Member’s name.
- Resource Type: Resource type can be employee or contractor.
- Business Unit: Business unit the project belongs to.
- Resource Pool, Portfolio, Request Name, Project Name, Short Name.
- Project ID: Project identifier.
- Work Package: Work package team member has worked on.
- Date: Working day date.
- Hours: Hours worked this day, on this work package, by this team member.
- Actual Work Cost: Calculated as hours * team member’s cost rate.
- Actual Work Billable: Calculated as hours * team member work package’s selling rate.
- Start Time: The time that team member started working on this work package.
- End Time: The time that team member finished work on this work package.
- Approval: Approval status can be “in progress”, “submitted”, “approved”, and “rejected”.
- Comments: Comments annotated by the team member.
- Order Number
- Source Code
Materials
The Materials view displays material resource usage for the selected projects.

The time frame is determined by the selected start date and the number of Days, Weeks, or Months. Use Previous (<) and Next (>) to navigate between periods.
The Manage Capacity For list allows selecting the information to display:
- Baseline Units
- Planned Units
- Used Units
Material usage can be viewed using one of the following data views:
- Materials by Project
- Materials by Work Package
- Projects by Material
- Work Packages by Material
The grid can also be filtered to display only the required material assignments.
Download Material Usage Data
Click the Download button to export material usage.
- When All Projects is selected, the export contains material usage for all projects in the portfolio.
- When a specific project is selected, the export contains material usage only for that project.
The downloaded file contains one row for each material resource, work package, and usage date.

How can a Program Manager download timesheet data for all projects?
